The "Before" Mess

The client was managing their operations across three disconnected systems: one for workforce rostering, one for operational planning, and a third for core job management. This led to "spreadsheet chaos," where planners and schedulers were trapped in hours of weekly forecasting and manual review meetings. Because the systems did not share data, the scheduling process became purely reactive. The team was "feeding the plan" rather than the plan guiding the team, which resulted in missed jobs and inaccurate capacity forecasting.

The "Wiser" Fix

We integrated these three data sources to create data harmony. By unifying these streams, we built a centralised reporting engine that provided a single, accurate view of the entire operation. We then developed high-impact dashboards that allowed the team to visualise productivity, demand, and capacity in real-time.

  • Eliminated manual reconciliation: Automated the data flow between systems to reduce the "forecast meeting" cycle.

  • Proactive Decision Making: Enabled leadership to accurately forecast service sales and make data-driven decisions on headcount months in advance.

  • Operational Accuracy: Transitioned from a reactive, missed-job workflow to a proactive scheduling model where the plan now accurately reflects reality.

Technical Note

  • Practical Integration: We achieved this by synchronising existing data exports. No expensive new software suites or complex, high-risk migrations were required.

  • Low Disruption: The solution was built and tested in a staging environment, ensuring that the client’s daily operations remained unaffected during the transition.
